It depends on the tables/equipment etc that is under the tent as well. It should fit at least 100 people.

How long and how many people are needed to put the tent up and take it down? Can the tent be left up for the summer in New York or will it get damaged?
It will take at least two people to put it up. The amount of time it takes will depend upon the skill level of the people putting it up.It can be left up unless you are expecting hurricane force winds. If this type of weather is predicted, it would need to be taken down.

Yes, there are set up instructions with this unit that you can find here. Any other items that you would like to order to add to your tent can be found on the accessories tab on the item's page.
